This article will start from the beginning in creating a Calendar
Reservation system and not all of the options will apply to you but they are
covered to demonstrate functionality.
First you must
create a new calendar, follow the steps below to do so. Fields that require
additional explanation are in bold below.
1. Click on “Welcome (yourname)” to expand the drop
down menu
2. Select Site Admin to get to the administrative
side of the website
3. Select Modules
4. Select Calendar
5. Select Calendars
6. Click on the Add New Calendar button
7. Click the Insert button to finish creating the
calendar
· Default
Display: The selected view here is what the resident’s will see.
· Resources
Per Tab: Number of resources displayed per tab.
· Is
Moderated: If Yes is selected, then an administrator will need to either
approve or deny a reservation request.
· Notification
Settings: When a reservation is made by a resident, the email address
entered here will receive an email notification.
· Days
Allowed For Advanced Reservation: The number of days in advance a resident
is able to make a reservation. Note: Entering zero will gray out all the days
making it unavailable to reserve at any time.
Next you can
create an item(s). From the page you are on click on the Items tab, then click
on the Add New Item button. An example of an item would be tennis racket,
tables, or chairs.
Next you can
create a resource that can be a part of the Calendar you just created. From the
page you are on click on the Resources tab, then click on the Add New Resource
button. A resource for example could be a clubhouse, pool, or a tennis court. Fields
that require additional explanation are in bold below.
· Calendar: Which calendar should this resource be applied to.
· Is
Moderated: If Yes is selected, then an administrator will need to either
approve or deny a reservation request.
· Auto
Response Email Content: The content here will be sent automatically once a
resident makes a reservation.
· Billing
Settings: If you would like to collect a fee select Yes if not leave No
selected (Currently the ability to collect fees is in process, will be
available in Q2 2018).
Next you can
create a contact(s). From the page you are on click on the Contacts tab, then
click on the Add New Contact button. If an event has a contact selected the
information entered here will be displayed.
Finally you can
add a reservation on behalf of a resident. From the page you are on click on
the Reservations tab, then click on the Add New Reservation button.
