Member Invite and Registration Process

Member Invite and Registration Process

Here at COMWeb, we know that the success of your association website depends on the members of your community registering on and accessing your site. Many of the wonderful features and information provided on the site requires registered member privileges.
With this in mind, we have developed a routine that has been very successful gaining membership while limiting the expense of the roll out
We have a Go Live procedure that ensures prompt resident adoption. The steps are:

  1. Those who DO HAVE a valid email address in their resident profile are sent a member invite email. This email contains a unique link connecting these residents to their own account where they are prompted to created their own username and password. Each resident must create their own account (no joint accounts) tied to a unique email address.

  2. Those who DO NOT HAVE a valid email address in their resident cannot be sent an email. We have two ways of addressing this:
    1. By Email :
      1. If a list of email addresses can be obtained from an old website, message board, or other group (such as a Yahoo group), we send general email to all users on the list after removing those emails from users in the 1st group.
      2. These emails do not contain a unique link, but send the user to the registration screen (Which is shortened to

    2. By Postal Letter  We send physical letter to all residents except those who have established an account. These letters have a unique code for each household. Each resident of the household can use these codes to establish their own account

  3. After all that, if they still have not registered. We resend the Member invite email from step 1 to remind residents to create their username and password. These reminders only go to those residents who have not completed the registration process.

We have a video to help homeowners navigate our registration process under the help section of our sites .You may view it by clicking the Welcome Visitor button on your site and selecting Help from the dropdown menu. This video is available to all visitors of the site.

The pages below are examples of the letter and the email. These may be customized to suit your needs:

Dear Jane Homeowner;
We recently launched a new website for Sunnyside! Once logged in, you will have the ability to view your account information, association documents, current and archived newsletters, and other community information. You will also be able to view all Club and social events, contact your manager, and stay up to date on clubhouse rentals, meetings and social events.
Our new website includes a Tennis Court Reservation system so all Tennis Court Reservations can now be made on the website or your smartphone! The paper reservation system will no longer be utilized.
You can access the site by going to Use the right side of the screen "Registration with account number and code" and input the information listed below. Follow the prompts to set up your account. You will be able to set up your own user name and password from that point. Each member of your household can have their own account, so encourage any others in your home to register as well. Everyone in your house can use the same code!

 Account Number: 87654
 Registration Code: BFR246

Once you have created your account registration, you will be taken to your profile where you can update the contact information we have on file for you. Dear Jane Homeowner,

It is with great pleasure that we announce the launch of our new Sunnyside Estates website. The Sunnyside staff has been hard at work over the past few months putting together content we hope you will find both useful and interesting.
The primary goal of a community association is to protect and enhance owners' property values. Equally important though is the need to promote communication between its residents and the larger community in which they reside. This website and its directories and communication tools will help Sunnyside Estates Homeowners Association do just that. With the launch of this website, Sunnyside Estates will have its own micro-social network exclusively for our residents.

In keeping with our philosophy of safe-guarding your information, we will be asking you to create a password to include a minimum 6 characters in length containing both at least 1 letter and 1 number. Your privacy is a priority for us and we want to ensure that the necessary protections are in place.

When you log in for the first time, please ensure that you read and accept the Terms of Use of this site. Once you click on accept, you will gain full access. Please also take the time to check your member details for any updates you need to make.  You may also load a picture when you update your member profile.
